Privacy Policy

This Privacy Policy (the "Policy") explains how CVRF treats the information that is provided or collected on the websites where this Policy is posted. In addition, it explains the information that may be collected when using CVRF’s applications on other websites or platforms operated by third parties.

CVRF recognizes the importance of users’ personal information and, through this Policy, informs users of the purpose and method of CVRF’s use of the personal information they provide, as well as the measures CVRF takes to protect such information.
This Policy will be effective on September 22, 2025. In the event of any modifications, CVRF will make public notice by posting the changes on the bulletin board of its website or by giving individual notice via e-mail.

1. Information to be collected and method of collection

(1) Personal Information to be Collected

CVRF may collect the following personal information directly provided by the users:
- Name, email address, specialty, country, institution, department, mobile number, passport number, postal code, address, e-newsletter subscription status

CVRF collects the users’ information through the following methods:
- Via the conference website, onsite registration, written forms, email

2. Use of Collected Information

CVRF uses the collected personal information for the following purposes:
- To process conference registration and management
- To send e-newsletters of the conference
- To provide important announcements and information about the conference
CVRF agrees to obtain consent from the users, if it intends to use the information for purposes other than those expressly stated in this Policy.

3. Data Retention and Storage

CVRF retains personal information only for as long as necessary to fulfill the purposes outlined in this Policy, unless a longer retention period is required or permitted by applicable laws and regulations. Once the retention period expires, CVRF will securely delete, destroy, or anonymize the personal information in a manner that prevents its recovery or misuse.

4. Sharing of Personal Information with Third Parties

CVRF does not share or disclose personal information to third parties, except in the following circumstances:
- When necessary to process registration and provide conference services

• Govent Inc.: Operation and management of the registration system, Sending Final Information, Onsite operation services
• Eximbay Inc.: Payment gateway services

- When required by law, regulation, legal process, or government request
- When the user has provided explicit consent for such sharing
In all cases, CVRF ensures that third parties handling the data are bound by confidentiality and security obligations. CVRF agrees to obtain consent from the users, if it intends to use the information for purposes other than those expressly stated in this Policy.

5. User Rights to Access and Option

Users and their legal representatives, as main agents of the information, may exercise the following rights regarding the collection, use, and sharing of personal information by CVRF:
- To exercise right to access personal information
- To make corrections or deletion
- To make temporary suspension of treatment of personal information
- To request the withdrawal of their consent provided before
If, in order to exercise these rights, users may contact CVRF by sending a document or e-mail, or using a telephone to the representative or department (or person) in charge of management of personal information, CVRF will take measures without delay. Provided, however, that CVRF may refuse a user’s request only to the extent that there exists either proper cause as prescribed in the laws or equivalent cause.

6. Modification of Privacy Protection Policy

CVRF has the right to amend or modify this Policy from time to time and, in such cases, CVRF will make public notice by posting the changes on the bulletin board of its website or by giving individual notice via e-mail and will obtain consent from the users if required under relevant laws.

7. Third party’s Sites and Services

The websites, products, or services of CVRF may include the links to the ones of a third party and the privacy protection policy of the third-party site may differ from that of CVRF. Thus, it is required for the users to check additionally the policy of any third-party sites linked to CVRF’s website.

8. Consent

By registering for the conference or using related services, users acknowledge that they have read and understood this Privacy Policy and consent to the collection, use, and processing of their personal information as described herein.
